Segments: Sending to Part of Your List
A segment is a saved set of rules that picks out some of your subscribers, for example "everyone on the Pro plan" or "people who joined in the last 30 days". When you send a campaign to a segment, only the active subscribers who match the rules receive it.
Segments choose people by rules, so they update themselves as your contacts change. To send to a list of people you pick by hand, use a group instead, or combine the two with a Group rule.
Create a segment
- Inside a project, go to Segments and select New segment.
- Give the segment a Name.
- Build a condition from three parts: a field, an operator, and a value. For example: Email · ends with ·
@example.com. - Add more conditions:
- Add AND condition adds a condition to the same block. A contact must match every condition in a block.
- Add OR block starts another block. A contact is included when they match any one of the blocks. Remove block deletes one.
- Watch Contacts in this segment: it updates as you change the rules and lists the matching active contacts, 25 at a time.
- Select Save.
For example, to reach Pro customers in Columbia, plus anyone at one partner company:
- Block 1: Custom field
plan· is ·proand Custom fieldcity· is ·Columbia - OR Block 2: Email · ends with ·
@partner.org
(Earlier versions called blocks "groups". They were renamed so they aren't confused with contact groups.)
What you can filter on
| Field | You can check whether it… |
|---|---|
| is / is not, contains / does not contain, starts with, ends with, is one of a list | |
| First name, Last name | is / is not, contains / does not contain, starts with, ends with, is empty, is not empty |
| Added on, Subscribed on | is before or after a date, or is within the last N days |
| Custom field | is, contains, starts with, ends with (enter the field name, e.g. plan) |
| Group | is in / is not in one of your groups (choose it from the list) |
Good to know:
- Name matching ignores capital letters: "bob" matches "Bob".
- "Is not" and "does not contain" on names also include people with no name on file.
- Custom fields come from your contacts' custom data. Their matching is case-sensitive, and they only support positive checks ("is", "contains", …).
- Group is not in also includes people who aren't in any group.
- A group used in a segment's rules can't be deleted until you edit the segment.
- Unsubscribed, pending, bounced, and complained contacts are never included, whatever the rules say.
- A segment with no conditions matches every active subscriber.
The query (advanced)
Under the rules, Query shows the same rules in Postak's JSON format, the one the API uses. Select Edit as JSON to change them directly; this is also how to build rules that nest blocks more deeply than the builder shows (up to three levels). Use the builder switches back when the rules fit the builder.
Download the contacts
On a saved segment, select Download CSV to get every contact the segment currently reaches. Save your changes first: the download uses the saved rules.
Use a segment in a campaign
In the campaign editor, tick the segment under Send to contacts in any of these, on its own or together with other segments and groups. You can also leave a segment's people out of a campaign. See Choosing recipients.
See which segments a contact matches
A contact's page lists the segments they match right now under Matches segments. See Managing Contacts.
Edit or delete a segment
Select Edit on a segment, change it, and select Save. Delete removes it.
You can't delete a segment while a draft or scheduled campaign sends to it or leaves it out, because that would change who the campaign reaches. Change the campaign's recipients (or delete the campaign) first. Campaigns that were already sent don't block deleting, and their reports keep the segment's name.
